Job Summary:
We are seeking a highly organized and proactive Office Administrator to support the daily operations of our fashion house. The ideal candidate will ensure smooth administrative processes, maintain efficient office systems, and assist with basic operational needs related to production, customer service, and studio coordination. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced, creative environment.
Key Responsibilities:
Administrative & Office Management
Manage day-to-day administrative tasks, including filing, documentation, scheduling, and correspondence.
Maintain office supplies, studio materials, and inventory levels; place orders when necessary.
Oversee general office upkeep to ensure a clean, organized, and welcoming environment.
Serve as the primary contact for vendors, suppliers, and service providers.
Customer Service & Front Desk Support
Greet walk-in clients and assist with inquiries in a professional and friendly manner.
Manage phone calls, emails, and WhatsApp messages from clients.
Schedule client fittings, consultations, and pick-ups.
Support the customer service team in maintaining customer satisfaction and follow-ups.
Production & Studio Coordination
Support coordination between designers, tailors, pattern makers, and the production team.
Assist with tracking orders, fabric usage, and delivery timelines.
Maintain production calendar and update team members on deadlines.
Ensure finished garments are packaged and labeled correctly before handover.
Financial & Record Keeping
Assist with basic bookkeeping tasks such as invoicing, receipts, and expense tracking.
Help prepare weekly and monthly administrative reports.
Maintain accurate records of client orders, deposits, and outstanding balances.
Social Media & Marketing Support (Optional)
Assist with posting content, responding to online inquiries, or coordinating photoshoots.
Support promotional activities, events, and studio campaigns when required.
Qualifications & Requirements:
HND/Bachelor’s degree in Business Administration, Management, Fashion Management, or a related field.
Proven experience as an Office Administrator, Administrative Assistant, or similar role (preferably in a fashion or creative environment).
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel) and basic digital tools.
Customer-oriented, professional, and composed.
Ability to work in a dynamic, fast-paced environment.
Attention to detail and a passion for fashion is an added advantage.
