Key Responsibilities:

Administrative Support:

  1. Maintain and update employee records, including personal details, employment history, and benefits.
  2. Prepare and process HR documents, such as employment contracts, job offers, and termination paperwork.
  3. Organize and maintain files, ensuring confidentiality of sensitive information.

Recruitment Assistance:

  1. Schedule interviews and coordinate with candidates and hiring managers.
  2. Post job advertisements on various platforms and maintain applicant tracking systems.
  3. Assist in screening resumes and conducting initial candidate assessments.

Onboarding and Orientation:

  1. Prepare onboarding materials for new hires, including handbooks and necessary forms.
  2. Assist with the orientation process to ensure a smooth transition for new employees.
  3. Ensure all required documentation is completed and filed for new hires.

HR Reporting:

  1. Generate reports on employee data, attendance, and other HR metrics.
  2. Assist in tracking employee performance reviews and contract renewals.
  3. Support compliance reporting for audits or legal requirements.

Employee Support:

  1. Respond to employee inquiries regarding HR policies, benefits, and procedures.
  2. Assist employees with leave applications, benefits enrollment, and other HR-related tasks.
  3. Ensure timely communication of updates and changes to HR policies.

Payroll and Attendance:

  1. Assist in collecting and verifying attendance records for payroll processing.
  2. Maintain accurate records of employee leaves and absences.
  3. Liaise with payroll staff to ensure accurate processing of employee payments.

Other Duties:

  1. Organize and schedule HR-related meetings, events, and training sessions.
  2. Ensure compliance with labor laws and organizational policies in all tasks.
  3. Perform other administrative duties as assigned by HR managers or supervisors.

Qualifications:

  • High school diploma or equivalent; a degree in Human Resources or a related field is an advantage.
  • Previous experience in an administrative or HR role is preferred.
  • Familiarity with HR software and tools (e.g., HRIS systems) is an asset.
