JOB SUMMARY
We are seeking a proactive, organized, and field-oriented Project Officer to drive the successful implementation of our development programs. In this role, you will be the bridge between project plans and on-the-ground reality – coordinating activities, engaging with farmers and community stakeholders, tracking progress, and ensuring that every deliverable meets donor expectations. KEY RESPONSIBILITIES

Project Coordination & Implementation

  • Coordinate the day-to-day implementation of project activities, ensuring that work plans, timelines, and deliverables are executed efficiently and on schedule.
  • Develop and maintain detailed project work plans, activity schedules, and procurement plans in alignment with approved budgets.
  • Identify and mitigate implementation risks, escalating challenges to the Project Manager in a timely manner.
  • Ensure that all activities are carried out in compliance with organizational policies, donor requirements, and local regulations.

Field Activities & Stakeholder Engagement

  • Lead and supervise field activities, including community mobilisation, training sessions, distribution events, and on-site monitoring visits.
  • Engage directly with farmers, community leaders, partner organizations, and local authorities to foster strong working relationships and ensure buy-in for project interventions.
  • Organize and facilitate stakeholder meetings, focus group discussions, and feedback sessions to capture community voices and adapt approaches as needed.
  • Represent the organization at local forums, district assemblies, and partner coordination meetings.

Monitoring, Reporting & Data Management

  • Track project progress against established indicators, targets, and beneficiary data using appropriate monitoring tools and databases.
  • Conduct regular field visits to verify activity implementation, collect quantitative and qualitative data, and document success stories and lessons learned.
  • Prepare timely and accurate project reports (weekly, monthly, quarterly, and final) as required by management and donors.
  • Maintain comprehensive and organized documentation of all project activities, including attendance records, distribution lists, meeting minutes, and photographs.

Donor Compliance & Evaluation Support

  • Support donor compliance by ensuring that all activities adhere to grant agreements, financial guidelines, and reporting schedules.
  • Assist in preparing documentation and logistics for donor monitoring visits, external evaluations, and audits.
  • Contribute to the development of concept notes, proposals, and work plans for project extensions or new funding opportunities.

Budget & Resource Management

  • Support the Project Manager in tracking project expenditure against budgets, ensuring cost-effective use of resources.
  • Assist in the procurement of goods and services, ensuring adherence to procurement policies and value-for-money principles.

QUALIFICATIONS & EXPERIENCE

  • Education: Bachelor’s Degree in Project Management, Development Studies, Agriculture, Rural Development, Social Sciences, Business Administration, or a related field.
  • Experience: Minimum of 2–3 years of proven experience in project coordination, field implementation, or community development work, preferably within the NGO/development sector.
  • Sector Knowledge: Experience working with farming communities, agricultural value chains, or rural development programs is a strong advantage.

SKILLS & COMPETENCIES

  • Project Management: Strong understanding of project lifecycles, results-based management, and logical frameworks.
  • Communication: Excellent written and verbal communication skills in English; proficiency in a local language (e.g., Twi, Ewe, Ga) is highly desirable for field engagement.
  • Analytical Skills: Ability to interpret data, track indicators, and produce clear, evidence-based reports.
  • Technical Proficiency: Good working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with data collection tools (e.g., ODK, Kobo Toolbox, or similar).
  • Organizational Skills: Ability to manage multiple tasks, prioritize competing demands, and meet tight deadlines.
  • Problem-Solving: Proactive, resourceful, and able to make sound decisions in remote or challenging field conditions.
