About the AIM Programme

The Accelerating Impact for Young Women (AIM) Programme, implemented by BRAC in partnership with the Mastercard Foundation, is a transformative nine-year initiative (2021–2030) designed to empower two million adolescent girls and young women across Africa.

The programme provides entrepreneurship training, employability skills, financial literacy, life-skills development, access to productive assets, and  educational support to improve economic participation and social wellbeing.

Implemented across Ghana, Kenya, Rwanda, Tanzania, Uganda, Liberia, and Sierra Leone, the AIM Programme equips young women with the resources, confidence, and opportunities needed to thrive as entrepreneurs, leaders, and change-makers within their communities.

Position Summary

BRAC Ghana is seeking an experienced and highly organized Senior Associate, Procurement to support the effective implementation of procurement and supply chain activities under the AIM Programme.

The successful candidate will be responsible for sourcing suppliers, managing procurement processes, negotiating contracts, maintaining vendor relationships, and ensuring that all procurement activities are conducted efficiently, transparently, and in full compliance with BRAC policies, donor requirements, and applicable regulations.

This role requires strong procurement expertise, analytical skills, stakeholder management capabilities, and a commitment to achieving value for money while supporting programme delivery objectives.

Key Responsibilities

Procurement Planning & Strategic Sourcing

  • Collaborate with programme and technical teams to develop annual and project-specific procurement plans.
  • Review and verify Purchase Requisitions (PRs) to ensure completeness, budget availability, and appropriate approvals.
  • Monitor and track all procurement requests, including local and international purchases.
  • Source qualified suppliers and service providers through competitive procurement processes.
  • Conduct market research and supplier assessments to identify cost-effective procurement solutions.
  • Analyze quotations, proforma invoices, and supplier proposals to determine price reasonableness and value for money.
  • Support strategic sourcing initiatives to optimize procurement efficiency and cost savings.

Vendor Management & Contract Administration

  • Build and maintain strong relationships with suppliers, contractors, and service providers.
  • Conduct supplier evaluations and performance assessments.
  • Maintain and update a database of pre-qualified vendors and suppliers.
  • Negotiate contracts, pricing agreements, delivery schedules, and payment terms.
  • Monitor supplier performance to ensure adherence to contractual obligations and service standards.
  • Resolve procurement and supplier-related issues promptly and professionally.

Tendering, Bidding & Procurement Processes

  • Prepare and issue Requests for Quotations (RFQs), Requests for Proposals (RFPs), and other procurement documentation.
  • Coordinate bid solicitation, evaluation, and vendor selection processes.
  • Facilitate procurement committee reviews and recommendation processes.
  • Ensure transparent, fair, and competitive procurement practices.
  • Maintain documentation supporting procurement decisions and approvals.

Compliance, Reporting & Documentation

  • Ensure procurement activities comply with BRAC policies, Ghanaian laws, and donor procurement regulations.
  • Maintain complete, accurate, and audit-ready procurement records and filing systems.
  • Support internal and external audits by providing procurement documentation and reports.
  • Prepare weekly procurement status reports and other management reports as required.
  • Track procurement performance metrics and identify opportunities for process improvements.
  • Work closely with Finance and Administration teams to ensure timely vendor payments and delivery follow-ups.

Consultant Administration

  • Serve as the primary administrative liaison for consultants engaged by the organization.
  • Coordinate consultant contracts, schedules, deliverables, and administrative requirements.
  • Maintain accurate consultant records and engagement documentation.
  • Support technical teams in ensuring consultants have the necessary resources to perform their assignments effectively.

Safeguarding Responsibilities

  • Promote and uphold BRAC’s safeguarding policies and principles.
  • Contribute to maintaining a safe, respectful, and inclusive working environment.
  • Ensure safeguarding considerations are integrated into procurement and programme implementation activities.
  • Support safeguarding awareness initiatives and compliance efforts.
  • Follow safeguarding reporting procedures and encourage adherence among staff and stakeholders.

Key Performance Indicators (KPIs)

  • Procurement audit compliance rate.
  • Procure-to-pay cycle efficiency.
  • Timeliness of procurement processing.
  • Supplier performance and delivery compliance.
  • Cost savings and value-for-money achievements.
  • Accuracy and completeness of procurement documentation.
  • Compliance with donor and organizational procurement standards.

Qualifications & Experience

 Educational Qualification

  • Bachelor’s Degree in Procurement, Supply Chain Management, Logistics, Business Administration, or a related field.

Professional Certification

  • Membership or certification from the Chartered Institute of Procurement & Supply (CIPS) is highly desirable and will be considered an added advantage.

Experience

  • Minimum of 5 years’ relevant experience in procurement and supply chain management.
  • Previous experience within an international NGO, development organization, donor-funded programme, or humanitarian setting is strongly preferred.
  • Familiarity with donor procurement regulations, particularly Mastercard Foundation procurement requirements, is highly advantageous.
  • Experience managing procurement activities across multiple projects and stakeholders.
