Job Purpose
The Accounts Payable Officer is responsible for managing the company’s payable accounts, ensuring timely and accurate processing of invoices, payments, and related financial documentation, while maintaining compliance with internal policies and regulatory requirements.
Key Responsibilities
- Invoice Processing & Payment:
- Receive, verify, and process vendor invoices accurately and timely.
- Ensure proper coding of invoices to the correct general ledger accounts.
- Prepare and schedule payments to vendors, ensuring adherence to payment terms.
- Reconciliation & Reporting:
- Reconcile vendor statements and resolve discrepancies.
- Maintain accurate records of all accounts payable transactions.
- Prepare monthly, quarterly, and annual accounts payable reports for management review.
- Vendor Management:
- Maintain updated vendor information and ensure proper documentation is in place.
- Liaise with vendors regarding payment queries and resolve issues promptly.
- Compliance & Controls:
- Ensure adherence to company policies, procedures, and internal controls.
- Support audits by providing necessary documentation and explanations.
- Process Improvement:
- Identify opportunities to improve accounts payable processes and efficiency.
- Assist in implementing automation tools for payment processing where applicable.
Qualifications & Skills
- Bachelor’s degree in Accounting, Finance, or related field.
- 2–3 years of experience in accounts payable or general accounting.
- Strong knowledge of accounting principles and financial regulations.
- Proficiency in accounting software and MS Office (Excel in particular).
- Attention to detail, organizational skills, and ability to meet deadlines.
- Strong communication and interpersonal skills.
