Key Responsibilities:

This role is pivotal in supporting various departments with procurement needs, leave registration, fleet management, event coordination, and travel support. We are looking for someone who embodies structure, communication, and reliability, and who can bring a solution-based approach to our team

Sourcing and Procurement:

  • Identify and evaluate potential suppliers, for a wide range of products and services
  • Run RFQs with several vendors, in order to ensure a comprehensive sourcing cycle that is compliant to global PIL standards. 

Supplier Management:

  • Develop and maintain relationships with suppliers, both existing and new
  • Regularly review prices, terms, and conditions
  • Ensure supplier compliance with organizational policies and procedures
  • Ensure contract compliance and monitor performance

Office Administration:

  • Assist senior management with Leave requests and registration.
  • Maintain relationship with landlord and property managers
  • Ensure appropriate stock levels are maintained in the office for supplies
  • Assist with office equipment maintenance and vendor communication.

Fleet Management

  • Ensure that the WARO fleet of cars is well maintained, that all vehicules are serviced regularly and all documentation up to date
  • Coordinate tasks with the team of drivers when required
  • Lead vehicle procurement when needed

 

Event management and Travel 

  • Play a key supporting role in event coordination and planning, including travel, hotels, visas, venue management, entertainment, etc. 
  • When required, assist in arranging domestic and international travel, accommodations, and itineraries
  • Prepare and process travel expense reports and reimbursements 


Experience & Qualifications

  • Minimum 3 years in a similar role, preferably with an international company.
  • Bachelor’s degree 
  • Good understanding of concepts around procurement and/or event management
  • Proactive personality: Strong communicator, able to connect with people of varying backgrounds.
  • Structured approach: Can take a structured approach to daily challenges and develop processes to address them.
  • Stakeholder management: Strong skills in managing relationships with stakeholders.
