JOB PURPOSE

To provide efficient administrative and operational support to the Institute, ensuring smooth day-to-day operations, effective cohort coordination, and accurate record-keeping. This role is designed for a recent graduate eager to gain hands-on experience in a professional academic environment.

KEY RESPONSIBILITIES


GENERAL ADMINISTRATIVE SUPPORT

  • Provide comprehensive administrative support including scheduling meetings, managing calendars, and organizing correspondence.
  • Maintain an efficient filing system for both physical and digital documents, ensuring easy retrieval and confidentiality.
  • Assist in drafting, formatting, and proofreading official documents, memos, and reports.
  • Manage office supplies and coordinate with vendors as needed.


COHORT & STUDENT COORDINATION

  • Coordinate cohort logistics, including class schedules, venue arrangements, and resource allocation.
  • Monitor and track student attendance, following up on absences and maintaining accurate attendance records.
  • Serve as a primary point of contact for student enquiries, providing timely and professional responses.
  • Assist with student orientation, registration, and onboarding processes.


RECORDS & FINANCIAL REPORTING

  • Prepare simple reports from institutional records and financial data for internal review.
  • Assist in tracking basic financial transactions, receipts, and petty cash when required.
  • Support the finance team with data entry and reconciliation tasks as needed.

REQUIRED JOB SPECIFICATION


EDUCATIONAL QUALIFICATION

  • Recognised First Degree in Business Administration, Law, Finance, or a related field (preferred).
  • Other degree holders with strong administrative aptitude may be considered.


ELIGIBILITY

  • Must be eligible for National Service Scheme (NSS) posting for the current service year.
  • Must provide valid NSS documentation upon application.


SKILLS & COMPETENCIES

  • Strong organizational and time-management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Professional demeanor with the ability to interact effectively with students, staff, and external stakeholders.
  • Basic understanding of record-keeping and financial data entry.

  • Must be based in or willing to work in Accra.
  • A proactive and eager-to-learn attitude is highly valued.
