Job Purpose

The Procurement Officer is responsible for ensuring the timely, cost-effective, and efficient sourcing and procurement of goods and services required for organizational operations. The role focuses on obtaining quality products at competitive prices while maintaining compliance with company policies, procurement procedures, and regulatory requirements. The Procurement Officer will work closely with internal departments and external suppliers to support uninterrupted business operations and achieve organizational objectives.

Key Responsibilities

Procurement & Sourcing

  • Identify, evaluate, and select reliable suppliers and vendors.
  • Source goods and services in accordance with organizational procurement policies and procedures.
  • Obtain and compare quotations to ensure competitive pricing and value for money.
  • Negotiate pricing, terms, and delivery schedules with suppliers.
  • Prepare and process purchase orders and procurement documentation.

Supplier Management

  • Build and maintain strong relationships with suppliers and service providers.
  • Conduct supplier evaluations and performance assessments.
  • Resolve supplier-related issues and ensure service quality standards are maintained.
  • Monitor supplier compliance with contractual obligations.

Inventory & Stock Management

  • Monitor inventory levels and coordinate replenishment activities.
  • Work closely with relevant departments to forecast procurement needs.
  • Ensure adequate stock levels are maintained to support operational requirements.
  • Assist in periodic stock audits and inventory reconciliation exercises.

Coordination & Compliance

  • Liaise with internal departments to understand procurement requirements and priorities.
  • Ensure all procurement activities comply with company policies and applicable regulations.
  • Maintain accurate procurement records, contracts, and supplier databases.
  • Prepare procurement reports and provide updates on purchasing activities.

Delivery & Quality Assurance

  • Follow up on orders to ensure timely delivery.
  • Verify that purchased goods and services meet required specifications and quality standards.
  • Coordinate the resolution of delivery discrepancies, shortages, and quality concerns.

Qualifications & Experience

  • Bachelor's Degree in Procurement, Supply Chain Management, Logistics, Business Administration, or a related field.
  • Minimum of 3–5 years of relevant experience in procurement, purchasing, or supply chain management.
  • Professional certification in Procurement or Supply Chain Management is an added advantage.

Skills & Competencies

  • Strong negotiation and supplier management skills.
  • Excellent analytical and problem-solving abilities.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Experience with procurement and ERP systems is an advantage.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and meet deadlines.
  • High level of integrity, professionalism, and attention to detail.
