About the Role

A reputable company is seeking a highly experienced and professional Executive Assistant to provide strategic and administrative support to the Managing Director. The ideal candidate must have a minimum of five (5) years’ experience supporting a Director or C-suite executive within the insurance, banking, or corporate sector.

This role requires discretion, strong organizational skills, proactive problem-solving ability, and the capacity to manage multiple priorities in a fast-paced environment.


Key Responsibilities

Executive Support & Coordination

  • Work closely with the Managing Director to plan, organize, and track work plans, projects, and key deliverables.
  • Prepare briefing notes, presentations, reports, and executive summaries.
  • Act as a liaison between the Managing Director and internal/external stakeholders.

Communication & Correspondence

  • Draft, review, and manage official correspondence (emails, letters, memos).
  • Screen calls and inquiries, ensuring appropriate follow-ups.
  • Maintain confidentiality of sensitive information and executive communications.

Calendar & Meeting Management

  • Manage the Director’s diary, schedule meetings, and coordinate appointments.
  • Organize board meetings and executive sessions.
  • Prepare meeting agendas and take minutes when required.

Office Administration

  • Maintain an efficient filing system (physical and digital).
  • Manage office documentation, emails, and contact database.
  • Ensure accurate record-keeping and documentation control.

Travel & Logistics

  • Coordinate travel arrangements including flight bookings, hotel reservations, and transport logistics.
  • Prepare travel itineraries and supporting documentation.

Research & Information Management

  • Conduct web research and gather information for strategic decision-making.
  • Compile data and prepare summaries for executive review.

Front Office Representation

  • Welcome and professionally manage guests and visitors.
  • Represent the Managing Director’s office with professionalism and courtesy.


Requirements

  • Minimum of 5 years’ proven experience as an Executive Assistant supporting a Director or C-suite executive.
  • Experience must be within the insurance, banking, or corporate sector.
  • Bachelor’s degree in Business Administration, Management, or related field is preferred.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and work under pressure.
