Job Summary

We are looking for a candidate who can anticipate needs, exercise sound judgment, manage competing priorities and serve as a trusted and discreet support to the CEO. The ideal candidate should be professionally experienced, organised and confident enough to work independently with minimal supervision.

Key Responsibilities

  • Manage the CEO's calendar, appointments, meetings and daily schedule.
  • Anticipate the CEO's needs and proactively organise tasks, reminders and priorities.
  • Coordinate meetings, travel arrangements, appointments and other engagements.
  • Follow up on assignments, commitments and outstanding matters on behalf of the CEO.
  • Prepare, organise and maintain documents, reports, correspondence and presentations.
  • Act as a reliable point of coordination between the CEO and employees, clients, business partners and other stakeholders.
  • Support the CEO in monitoring operational matters, particularly within the logistics business.
  • Take accurate notes during meetings and ensure agreed actions are followed through.
  • Handle confidential business and personal information with absolute discretion.


Requirements

  • Bachelor's degree in Business Administration, Management, Communications, Social Sciences or a related field.
  • Minimum of 3-5 years of relevant professional experience in personal assistance, executive assistance, administration, operations or a similar role.
  • Previous experience supporting a senior executive, business owner, manager or professional is strongly preferred.
  • Excellent organisational, time-management and follow-up skills.
  • Strong written and verbal communication skills.
  • High level of emotional intelligence and interpersonal awareness.
  • Ability to remain calm, professional and effective under pressure.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Excellent judgment, discretion and ability to maintain confidentiality.
  • Ability to work independently, anticipate requirements and take initiative without constant supervision.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • A valid driver's licence and ability to drive would be an added advantage.
