Responsibilities:

  • Collaborate with the Chief of Staff in managing multiple executives' calendars, scheduling appointments, and coordinating meetings.
  • Draft and edit emails and other correspondence on behalf of senior leaders/executives.
  • Work closely with senior leaders to be well informed of upcoming commitments and responsibilities, following up appropriately.
  • Proactively monitor deadlines and pending tasks, assertively following up with senior executives to ensure timely completion of assignments.
  • Serve as a point of contact on all matters pertaining to your assigned Executive(s); prioritize and determine the appropriate course of action or response.
  • Complete a broad range of tasks including assisting with special projects, designing and producing documents, reports, and presentations, running errands (personal and professional), collecting and preparing information for meetings, composing correspondence, making travel arrangements, and completing expense reports.
  • Contribute as a member of Admin Team; provide back-up admin support for the Chief of Staff and other Executive Assistants as needed and participate in various admin/research team projects.
  • Troubleshoot office devices that need minor attention or contact IT for assistance with major issues.
  • Communicate regularly with your team and leaders - proactively provide updates without being asked, and confirm when tasks are completed.
  • Stay flexible and open to changes in direction - this is an entrepreneurial environment where priorities shift and tasks often come from multiples directions.
  • Other projects/duties as assigned for the overall benefit of the organization.

Qualifications:

  • Minimum of 5 years of Executive Assistant experience supporting C-suite executives.
  • Proficient in the entire Microsoft Office Suite (Office 365) including intermediate Microsoft Excel skills.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • High degree of professionalism in dealing with executives, staff, investors, and clients.
  • Able to maintain integrity and discretion in handling confidential information.
  • Ability to switch gears at a moment’s notice.
  • Self-motivated and communicative - willing to speak up, ask questions, and clarify expectations.
  • Flexible and adaptable, with a willingness to take on new challenges and responsibilities, expressing intrinsic motivation and resourcefulness.
  • Strong verbal and written communication skills and detail-orientation, coupled with the ability to foster positive interpersonal relationships.
  • Type a minimum of 50 WPM.
  • Bachelor’s degree (preferred).
  • US work authorization (required).
  • Working Hours: 9:30am - 6:30pm, Monday - Friday.

Location:

Hybrid in New York, NY (Midtown Manhattan), providing the flexibility to work remotely one day per week, in a dynamic, thriving environment.

Compensation and Perks:

  • $90,000 - $95,000 salary plus annual performance bonus. Salary commensurate with knowledge, skills, experience, and credentials.
