Job Summary

Under the supervision of the Stores Manager, the Stores Officer will be responsible for the efficient receipt, storage, issuance, and control of inventory in compliance with company policies and procedures. Ensures accurate stock records, optimal inventory levels and effective coordination with procurement, planning, production, and other departments using ERP system.


Job Details

The Stores Officer shall be responsible for:

  • Receive, inspect, and verify incoming goods against purchase orders and delivery notes; ensure accurate recording in ERP system (SAP 1) and proper storage in designated locations. 
  • Maintain real-time, accurate inventory records by capturing all stock movements (receipts, issues, transfers, and adjustments) in ERP system (SAP 1). 
  •  Monitor and control batch integrity by ensuring correct batch usage during material issuance and transfers. 
  • Conduct periodic stock counts (weekly, monthly, and quarterly), including batch-wise verification, and reconcile physical inventory with system records; investigate and resolve discrepancies. 
  • Monitor inventory levels for both local and foreign orders, ensuring timely replenishment in line with established minimum and maximum stock levels. 
  • Issue materials to user departments strictly against approved requisitions, ensuring correct batch selection and proper documentation. 
  • Facilitate timely transfer of raw materials to the production floor using the ERP system’s (SAP 1) Warehouse Management processes while maintaining accurate batch records. 
  • Ensure proper stock rotation practices (FIFO/FEFO) to minimize waste, expiration, or obsolescence.
  • Maintain an organized, clean, and safe warehouse environment in compliance with health, safety, and regulatory standards. 
  • Ensure proper storage, handling, and preservation techniques to maintain product quality and batch integrity. 
  • Collaborate with internal departments (procurement, production, and finance) to ensure smooth material flow and accurate reporting. 
  • Support internal and external audits by providing required documentation, including batch traceability records and inventory reports. 
  • Continuously identify and implement improvements in stores operations, inventory accuracy, and cost efficiency.


Requirements

Skills and Attributes Required:

  • Ability to analyze large amounts of data
  • Effective communication and report writing skills.
  • Excellent interpersonal skills; to work with and manage a team.
  • Ability to work independently and with people from diverse backgrounds.
  • Working knowledge of MS Office, Excel and Power Point
  • Ability to work extra hours as may be required.
  • Strong organizational skills and attention to detail.
  • Working knowledge of an ERP (SAP 1). 
  • A conscious SAFETY champion at all levels of operation.

 

Qualification:

  • A degree/HND in Business Administration or related.
  • A minimum of 3 years’ post national service experience in Stores Management.
  • An exposure to an FMCG operations a plus
