Job Summary:
The Accounts Officer is responsible for the effective management of the company's accounts payable and receivable functions. This role ensures timely and accurate processing of supplier invoices, customer billing, payment collections, and bank reconciliations. The ideal candidate will have strong accounting expertise, experience with accounting software, and a commitment to maintaining accurate financial records in compliance with company policies and regulatory requirements. Experience in procurement, trading, logistics, warehousing, or supply chain environments is an added advantage.

Key Responsibilities:

1. Accounts Payable Management

  • Process supplier invoices accurately and ensure timely payments in accordance with agreed terms.
  • Prepare and manage payment schedules, ensuring all payments are properly authorized and documented.
  • Perform regular supplier reconciliations to resolve discrepancies and maintain strong vendor relationships.
  • Maintain an organized filing system for all payable documents, including invoices, purchase orders, and delivery notes.
  • Verify that all invoices are matched with purchase orders and goods received notes (3-way matching) before processing.

2. Accounts Receivable Management

  • Generate and issue customer invoices promptly and accurately based on sales orders and delivery confirmations.
  • Monitor customer accounts to track outstanding payments and aging of receivables.
  • Proactively follow up on overdue accounts through calls, emails, and formal correspondence to ensure timely collections.
  • Perform regular customer account reconciliations and resolve any billing discrepancies.
  • Prepare and share customer account statements as required.

3. Banking & Financial Administration

  • Prepare payment instructions for bank transfers, cheques, and other payment methods.
  • Perform daily and monthly bank reconciliations to ensure accuracy of cash and bank balances.
  • Manage petty cash transactions, ensuring proper documentation and reconciliation.
  • Assist in the preparation of monthly, quarterly, and annual financial reports.

4. Record Keeping & Reporting

  • Maintain accurate and up-to-date financial records in the accounting system.
  • Support the preparation of management accounts, including profit and loss statements, balance sheets, and cash flow reports.
  • Ensure all financial transactions are properly coded and classified in compliance with the company's chart of accounts.

5. Compliance & Audit

  • Ensure compliance with company financial policies, internal controls, and Ghanaian tax regulations (e.g., VAT, Withholding Tax).
  • Prepare and file statutory returns as required (e.g., PAYE, SSNIT) in collaboration with the Finance Manager.
  • Support internal and external audit processes by providing necessary documentation and explanations.

Qualifications & Experience:

  • Education: Bachelor's Degree or HND in Accounting, Finance, Commerce, Business Administration, or a related field.
  • Certification: Professional accounting qualifications (e.g., ICAG, ACCA, CIMA) are an added advantage.
  • Experience: Minimum of 3 years of hands-on experience in accounting or finance, with specific experience in both Accounts Payable and Accounts Receivable.
  • Industry Experience: Experience in procurement, trading, logistics, warehousing, or supply chain environments is an added advantage.

Key Competencies & Skills:

  • Software Proficiency: Advanced proficiency in Microsoft Excel and accounting software such as QuickBooks, Zoho Books, Sage, Tally, or Odoo ERP.
  • Financial Acumen: Strong understanding of accounting principles, financial reporting, and internal controls.
  • Attention to Detail: Meticulous and accurate in data entry, reconciliations, and financial record-keeping.
  • Organisational Skills: Excellent planning, prioritization, and time management skills with the ability to meet tight deadlines.
  • Communication: Strong verbal and written communication skills to interact effectively with suppliers, customers, and internal stakeholders.
  • Problem-Solving: Ability to identify and resolve discrepancies, reconcile accounts, and propose process improvements.
  • Integrity: High level of integrity, confidentiality, and ethical conduct in handling financial information.

Working Conditions:

  • Office-based environment in Accra.
  • Standard working hours with occasional overtime during month-end or audit periods.
  • Interaction with internal departments, suppliers, and customers on a regular basis.
