Responsibilities:

  • Assist with processing customer invoices using an Excel template and customer portals such as SAP Fieldglass.
  • Verify that all necessary documentation is on file, such as credit applications and sales tax exemptions.
  • Request and distribute Certificates of Insurance (COI), W-9s, and service agreements as needed.
  • Assist with reviewing job cost reports to confirm accuracy and compliance with purchase order limits.
  • Record invoices in the Sage accounting system and assist with maintaining A/R records.
  • Support payment processing by tracking and applying ACH and occasional credit card transactions.
  • Help investigate and resolve minor billing discrepancies and disputes, escalating as needed.
  • Generate and review aging reports but not responsible for collections.
  • Maintain organized financial records and provide information as requested for audits (but not handle audits directly).
  • Respond to occasional customer inquiries related to invoices and payments.
  • Provide backup coverage for the Accounts Receivable Specialist during vacation or absences, ensuring smooth operations.

Qualifications:

  • Minimum of 3 years of Accounts Receivable experience preferred (flexible based on skills and aptitude).
  • Experience using accounting software for invoicing such as Sage. Sage experience isn't required.
  • Strong attention to detail and accuracy in data entry.
  • Ability to work independently while supporting an existing team.
  • Proficiency in Microsoft Office 365 (Excel, Outlook, Word) is required.
  • Strong organizational and communication skills.
  • Preferred but not required: Experience with SAP Fieldglass.
