Position Summary

We are seeking an experienced, results-oriented, and dedicated Finance & Administration Manager to oversee the company's financial operations, manage administrative functions, and ensure full business compliance. The ideal candidate will be a strategic thinker who can balance financial stewardship with efficient office management, driving operational excellence while maintaining robust internal controls. This role requires a hands-on leader capable of working independently, managing teams, and meeting tight deadlines.

Key Responsibilities


A. Financial Management

  • Financial Reporting & Analysis: Prepare and present accurate monthly, quarterly, and annual financial statements (P&L, balance sheet, cash flow) to the MD and board.
  • Budgeting & Forecasting: Lead the annual budgeting process; monitor budget performance, analyze variances, and recommend corrective actions.
  • Cash Flow Management: Oversee daily cash flow, treasury operations, and bank reconciliations to ensure adequate liquidity for business operations.
  • Compliance & Taxation: Ensure full compliance with all statutory requirements, including GRA tax filings (VAT, PAYE, Corporate Income Tax), SSNIT contributions, and other regulatory obligations.
  • Internal Controls: Develop, implement, and monitor robust internal control systems to safeguard company assets and prevent fraud.
  • Audit Coordination: Liaise with external auditors and internal audit teams to facilitate smooth audit processes.


B. Administration & Office Management

  • Office Operations: Oversee general office administration, including procurement of office supplies, maintenance of office equipment, and facility management.
  • HR Administration: Support the HR function by managing payroll processing, staff records, leave administration, and employee benefits coordination.
  • Policy Implementation: Ensure company policies and procedures are communicated, understood, and adhered to across all departments.
  • Vendor & Contract Management: Negotiate and manage contracts with external service providers (e.g., cleaning, security, IT support) to ensure cost-effectiveness and quality service delivery.
  • Record Keeping: Maintain an organized and secure filing system for all financial, legal, and administrative documents.


C. Leadership & Team Management

  • Supervise, mentor, and develop the finance and administrative support team.
  • Foster a culture of accountability, continuous improvement, and professional growth.
  • Provide strategic financial advice to senior management to support business decision-making.

Key Requirements


Education & Qualifications

  • Bachelor's Degree in Accounting, Finance, Business Administration, or a related field from a recognized institution.
  • Professional qualification such as ACCA, ICA (Ghana), CPA, or equivalent is a strong plus.


Experience

  • Minimum of 5–7 years of progressive experience in finance and administration roles, with at least 2–3 years in a managerial or supervisory capacity.
  • Proven experience in financial accounting, budgeting, reporting, and general office management.


Skills & Competencies

  • Strong knowledge of accounting principles, financial reporting standards, and tax regulations in Ghana.
  • Excellent leadership, communication (written and verbal), and interpersonal skills.
  • Advanced proficiency in Microsoft Excel and accounting software (e.g., QuickBooks, Sage, Tally).
  • Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • High level of integrity, attention to detail, and problem-solving ability.
