1. Job Summary

KABRI International Contracting Co. LLC is seeking an organized, detail-oriented, and proactive Administrative Assistant to join our dynamic team in Dubai. The ideal candidate will provide essential administrative and documentation support to ensure the smooth day-to-day operations of our office. This role is perfect for someone who thrives in a fast-paced environment, possesses excellent organizational skills, and is proficient in MS Office.

2. Key Responsibilities

  • Office Administration:
    • Managing daily office tasks, including filing, data entry, and handling correspondence.
    • Organizing and maintaining physical and digital filing systems for easy document retrieval.
    • Monitoring office supplies inventory and placing orders as needed.
  • Documentation & Reporting:
    • Preparing, formatting, and maintaining documents, reports, presentations, and spreadsheets.
    • Assisting with the preparation of contracts, proposals, and other business documents.
    • Ensuring all documentation meets company standards and is accurately filed.
  • Communication & Coordination:
    • Handling incoming and outgoing calls in a professional manner.
    • Assisting with general administrative queries from clients, vendors, and internal staff.
    • Coordinating meetings, appointments, and travel arrangements as required.
  • Support Functions:
    • Assisting with basic data management and record-keeping tasks.
    • Supporting the management team with various administrative projects as assigned.

3. Requirements & Qualifications

  • Education: Graduation (Bachelor's degree) or Diploma in Business Administration, Office Management, or a related field.
  • Experience: 1 to 2 years of proven experience in office administration and documentation.
  • Technical Skills:
    • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
    • Familiarity with document management systems and basic office equipment.
  • Soft Skills:
    • Strong organizational and time-management abilities.
    • Excellent communication skills (written and verbal).
    • High attention to detail and accuracy.
    • Ability to multitask and work under pressure.
  • Location: Must be able to commute to the Dubai office.
