1. Job Summary

A leading multinational company located in Saeb Salam, Beirut is urgently seeking a highly presentable and professional Female Administrative Assistant to join our team immediately. The ideal candidate will provide comprehensive administrative and clerical support to ensure the smooth and efficient operation of our office. This role requires a polished, organized, and reliable individual with strong communication skills and a proactive attitude.

2. Key Responsibilities

  • Office Administration:
    • Managing daily office tasks, including filing, data entry, document management, and correspondence.
    • Maintaining organized physical and digital filing systems for easy retrieval of records.
    • Monitoring office supplies inventory and coordinating procurement as needed.
  • Communication & Coordination:
    • Serving as the first point of contact for clients, visitors, and business partners.
    • Handling incoming calls, emails, and correspondence in a professional and courteous manner.
    • Scheduling meetings, appointments, and managing executive calendars.
  • Documentation & Reporting:
    • Preparing, formatting, and proofreading documents, reports, presentations, and letters.
    • Assisting with the preparation of meeting minutes and follow-up actions.
  • Support Functions:
    • Coordinating travel arrangements and logistics for staff when required.
    • Supporting the management team with various administrative projects and tasks as assigned.
    • Ensuring the office environment remains professional and well-maintained.

3. Requirements & Qualifications

  • Education: Bachelor's degree or equivalent qualification in Business Administration, Office Management, or a related field.
  • Experience: Minimum 3 years of proven experience as an Administrative Assistant (preferably in a multinational or corporate environment).
  • Age: Between 24 and 30 years (as per client requirement).
  • Gender: Female candidates only (as per client requirement).
  • Professional Presentation: Highly presentable with a professional and polished attitude.
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Familiarity with office equipment and basic administrative tools.
  • Soft Skills:
    • Excellent organizational and time-management abilities.
    • Strong communication and interpersonal skills.
    • High attention to detail and accuracy.
    • Ability to work under pressure and handle multiple tasks.
    • Reliable, proactive, and self-motivated.
  • Location: Must reside in Saeb Salam, Beirut, or nearby areas for easy commuting.
  • Availability: Must be available to join immediately.
