Position Summary:

The Front Desk Officer serves as the first point of contact for visitors, clients, and staff. This role is responsible for managing the reception area, handling inquiries, and ensuring smooth administrative operations.

Key Responsibilities:

  • Greet and welcome guests in a professional and friendly manner
  • Answer and direct phone calls using a multi-line system
  • Manage incoming and outgoing correspondence (emails, packages, mail)
  • Maintain visitor logs and issue visitor badges
  • Schedule appointments and manage meeting room bookings
  • Assist with administrative tasks such as filing, data entry, and document preparation
  • Ensure the reception area is tidy and presentable at all times
  • Coordinate with internal departments to support daily operations

Qualifications:

  • High school diploma or equivalent; diploma in administration or related field is a plus
  • Proven experience in a front desk or customer service role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Professional appearance and demeanor

Preferred Skills:

  • Familiarity with office equipment (printers, scanners, phone systems)
  • Ability to handle sensitive information with discretion
  • Customer-focused mindset
  • Basic knowledge of recordkeeping and office procedures
