Job Description
We are hiring for Secretary at our company located at Achimota.
Responsibilities:
Admin & Office Management
- Manage front desk, answer calls, emails, and greet clients/contractors
- Maintain office files, documents, and records – both physical + digital
- Schedule meetings, site visits, and manage MD’s calendar
Project & Site Support
- Prepare and file project documents: quotations, LPOs, delivery notes, job cards
- Track material requests and coordinate with stores/warehouse
- Log site progress updates and update project schedules
Procurement & Supply Coordination
- Assist with raising purchase orders for electrical materials/equipment
- Liaise with suppliers, vendors, and logistics companies
- Track deliveries and ensure invoices/receipts are properly filed
Finance & Documentation
- Prepare invoices, receipts, and basic payment vouchers
- Maintain petty cash records and expense logs
- Help with monthly reports and data entry
Compliance & Correspondence
- Draft letters, memos, and official correspondence
- Keep company licenses, permits, and compliance documents up to date
- Take minutes during meetings and circulate action points
Qualification Required & Experience
•Minimum of 2 years of experience
•Fluency in English required
•French is an added advantage
