Role Summary
The Accounts & Finance Officer is responsible for the day-to-day financial management, accounting operations, budgeting support, compliance and financial reporting for Eco-Me Africa Ltd and RuGirlz EMS. The role ensures financial accuracy, regulatory compliance, effective internal controls and reliable reporting to support management decision-making. The Officer will maintain accounting systems, manage financial records, oversee inventory accounting integration and support project and donor financial tracking while strengthening internal financial processes.


Key Responsibilities

1. Financial Planning and Budget Support
● Assist in preparing annual budgets and financial forecasts.
● Monitor actual expenditures against approved budgets.
● Identify and report budget variances.
● Support cash flow planning and financial sustainability tracking.
● Provide financial insights to management for decision-making.

2. Accounting Operations and Financial Reporting
● Maintain accurate and up-to-date accounting records.
● Prepare monthly, quarterly and annual financial statements, including:
1. Income Statements
2. Balance Sheets
3. Cash Flow Statements
● Ensure financial reports are completed and submitted by the 5th of each month.
● Maintain general ledger integrity and documentation.
● Support preparation of management financial reports.

3. Internal Controls And Financial Systems
● Implement and maintain financial control procedures.
● Ensure proper approval and authorization processes.
● Manage petty cash, bank transactions and mobile money controls.
● Maintain accurate financial documentation and audit trails.
● Support development and adherence to finance SOPs and policies.

4. Inventory And Production Accounting
● Maintain accurate inventory records within accounting systems.
● Apply approved inventory valuation methods.
● Track raw materials, work-in-progress and finished goods.
● Conduct regular stock reconciliation.
● Integrate inventory data with sales and cost tracking.
● Generate inventory and production accounting reports.

5. Tax And Statutory Compliance
● Prepare and process statutory payments including: (PAYE, VAT,Withholding Tax ,SSNIT)
● Ensure timely filing of all statutory returns.
● Maintain compliance records and documentation.
● Liaise with tax consultants when necessary.

6. Audit And Compliance Support
● Maintain audit-ready financial records.
● Prepare audit schedules and supporting documentation.
● Support internal and external audit processes.
● Assist in implementing audit recommendations.

7. Project And Grant Financial Management
● Support budgeting for projects and donor-funded activities.
● Track project expenditures against budgets.
● Maintain segregation of donor funds where required.
● Prepare financial reports for grants and partners.

Qualifications And Experience
● Bachelor’s degree in Accounting, Finance or related field.
● Professional accounting certification (ACCA- partial or full) is an advantage.
● 2 - 4 years relevant accounting experience.
● Experience with accounting software and inventory systems.
● Strong understanding of Ghanaian tax regulations.
● Proficiency in Excel and financial reporting tools.
