Core Responsibilities
1. Office Management: Oversee daily operations, maintain office supply inventory, and coordinate the repair or maintenance of office equipment.
2. Communication & Correspondence: Act as the primary point of contact for employees, clients, and vendors. Manage emails, route phone calls, and greet visitors.
3. Scheduling & Meetings: Coordinate company calendars, schedule appointments, book meeting rooms, and arrange catering.
4. Record Keeping: Maintain and organize physical and digital filing systems, ensuring files are up-to-date and easily retrievable.
5. Financial & Procurement Support: Track office expenses, prepare reports, and assist with processing invoices, quotes, and expense claims. Source vendor quotes and handle routine procurement.
6. Logistics: Coordinate travel arrangements, including flight bookings, hotel reservations, and transport logistics.
7. Onboarding & Policy: Support HR with onboarding new hires (e.g., setting up workspaces) and help ensure the office complies with health and safety regulations.
Key Qualifications & Skills
1. Education: A bachelor's degree in Business Administration, Management, or a related field.
2. Experience: Minimum of 2–3 years of proven experience in an administrative or office support role.
3. Tech Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
4. Soft Skills: Exceptional organizational and multitasking skills, clear verbal and written communication, and a high level of discretion when handling confidential information.
